Standard Terms and Conditions of Business

Effective Date: 04 January 2026

1. Introduction

These terms and conditions apply to the services provided by Beans Accounting Services Ltd ("we", "us", "our") to the client ("you"). By accepting a quote or engaging our services, you agree to be bound by these terms.

 

2. Our Services

We will provide the accounting, bookkeeping, and advisory services as detailed in your specific Engagement Letter or Proposal.

  • Xero Software: We are a Xero-focused practice. It is your responsibility to maintain a valid Xero subscription unless we have agreed to include this in your monthly fee.

 

3. Client Responsibilities

To provide our services effectively, we need you to:

  • Provide accurate, complete, and timely information (e.g., bank statements, invoices).

  • Respond to queries within a reasonable timeframe.

  • We are not responsible for penalties or delays caused by your failure to provide information on time.

 

4. Fees and Payment

  • Monthly Services: Fees are payable monthly in advance via Direct Debit or Standing Order.

  • Ad Hoc Work: Any work outside the agreed scope will be quoted separately and invoiced upon completion.

  • Late Payment: We reserve the right to suspend services if fees are outstanding for more than 30  days.

 

5. Confidentiality and Data Protection

We are committed to protecting your privacy. We will process your personal data in accordance with our Privacy Policy and applicable UK Data Protection laws (GDPR). We may use third-party software (e.g., Xero, Hubdoc) to process your data.

 

6. Liability

We will provide our services with reasonable care and skill. Our liability to you for any loss or damage arising from our services is limited to the fees paid by you in the preceding 12 months. We are not liable for any indirect or consequential losses.

 

7. Termination

Either party may terminate this agreement by giving 30 days written notice. You agree to pay for all work completed up to the date of termination.

 

8. Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
